Terms and Conditions
This section outlines the standard terms and conditions that govern participation in the event. It has been designed to ensure a safe, professional, and seamless experience for all involved. While these terms are comprehensive and legally binding, our organising team is always happy to provide assistance or clarification wherever needed. Exhibitor Move-In and Move-Out
Booth Construction (Raw Space Exhibitors): Move-in begins at 11:00 AM on 9th September 2025. All construction and decoration work must be completed before 2:00 AM on 11th September 2025. The raw space area is a free design space provided without carpeting, furniture, power, or electrical fittings. Electric Power Supply
Available Supply:
Three Phase — 400 Volts ±10%
Single Phase — 230 Volts ±10%
Frequency — 50 HZ ±3%
⚠️ Power Fluctuations: Please note that occasional power fluctuations may occur during the event. While every effort will be made to maintain a stable supply, the organisers cannot be held responsible for any disruptions or damages arising from such fluctuations.
Additional Power Charges:
Single-phase: ₹2,500 + Taxes
Three-phase: ₹3,000 + Taxes
Exhibitors may use up to 500W per plug point. Additional power usage is chargeable. Please submit , heavy machinery power input, extra power or any such requirements to organisers by 25th August 2025.
Non-Participation
If an exhibitor who has signed up for a booth fails to exhibit and has not been officially released from the contract, they are liable for full payment and any additional costs incurred by the organisers.
Organisers' Liability
The organisers shall not be held responsible for any loss, damage, theft, injury, or other incidents affecting the exhibitor, their property, representatives, or contractors—whether during booth setup, exhibition days, or dismantling. This also includes any disruptions or failures in services provided by third parties, or circumstances beyond the organisers’ or their partners' control.
Exhibitor Insurance
Exhibitors are responsible for full insurance coverage for their property, personnel, and liabilities. This include:

▶ Loss or damage by fire, theft, or accident
▶ Claims under Workmen’s Compensation
⚠️ Insurance: The insurance must cover the full duration—from entry to complete exit from the venue.
Group Stands
The primary contracting party is responsible for ensuring that all exhibitors within the group comply with these terms.
Subletting
No part of the booth may be transferred, sublet, or shared without prior written consent from the organisers.
Force Majeure
The organisers shall not be held liable for any cancellation, delay, or modification of the event arising from circumstances beyond their control, including but not limited to natural disasters, public health emergencies, fire, accidents, or government-imposed restrictions.
Promotion
Exhibitors may not place promotional material outside their designated booth or distribute materials in aisles or entrances.
Security
No access to the exhibition hall is allowed after hours unless approved. Only security approved by organisers is permitted. All personnel must wear identification badges. Movement of exhibits during show hours is prohibited.
⚠️ Security: General security will be provided, but it does not include dedicated booth security.
Payment Terms
Full payment must be made with the signed application form. Unpaid booths may be cancelled, and the space may be reallocated without notice. Exhibitors will not be allowed to move in without full payment.
Booth Profile Compliance
If an exhibitor’s offerings do not match the profile of Aquaex India 2025, the organisers may shut down the booth without prior notice.
Legal Jurisdiction
All disputes shall be governed under Indian law and are subject to the jurisdiction of Indian courts.
Raw Space Booth Design
Minimum raw booth size: 18 sqm. All designs must:
Avoid blocking others’ booths or exits.
Stay within height limits unless approved.
Allow cable access if no raised platform is built.
Avoid blocking aisles during construction.
Remove waste post-construction.
Use organiser-approved electricians.
Not involve POP, welding, carpentry, or melamine polishing inside halls.
Electrical Installations
Only organiser-appointed contractors may perform on-site electrical work. All prefabricated fittings will be inspected before connection.
Equipment Restrictions
Noise-emitting or interference-causing equipment is prohibited. The organisers’ decision on such matters is final.
Venue Damage
No structural modifications may be made to the venue without written permission.
Cleaning
The organisers will clean aisles and gangways daily. Exhibitors are responsible for cleaning and debris removal during setup and dismantling. Booth-specific cleaning is available on request and will incur an extra charge.
Cancellations
Booth fees are non-refundable unless otherwise stated in writing.
Statutory Compliances
Exhibitors are solely responsible for ensuring compliance with all applicable statutory and regulatory laws, especially those involving sales transactions during the event.
Special Display Rules
Heavy machinery, noisy equipment, or exhaust-emitting displays must be pre-approved and will be housed in designated areas only.
Booth Usage
Exhibitors must utilise their full allocated space. If left unused, organisers may reassign the space without refund.
Code of Conduct
Exhibitors are kindly expected to maintain courteous and respectful conduct throughout the event. Any concerns or grievances should be directed to the organisers through the assigned event coordinators, following the process.
