Dismantling

Stall dismantling will begin at 6:00 PM on 13 September 2025 and must be completed, including the removal of all materials, by 11:30 PM (same day).

Inauguration

The official inauguration will take place on 11 September 2025, from 10:00 AM to 11:30 AM (schedule is subject to modification)

Setting Up Your Booth
Exhibition halls will be open for setup from 11:00 AM, 9 September 2025.

Bare/custom design space exhibitors must complete installation and decoration by 5:00 AM, 11 September 2025.

Built-up/shell scheme exhibitors must finish setup by 9:00 PM, 10 September 2025.

Any materials not intended to remain in the stall must be removed by midnight, after which a final security check will be conducted.

No Verbal Agreements
Only written agreements with the organiser will be considered valid. Verbal understandings are not binding.

Damage to Property
Exhibitors are responsible for any damage caused to venue structures, flooring, walls, panels, carpets, or items provided by the organiser. Please do not use paint, adhesives, or materials that could harm furniture, fixtures, or surfaces.

Noise and Smell
⚠️ Displays or activities that generate offensive noise, smell, or pollutants are strictly prohibited.

Decoration & Display Guidelines
Maximum display height:
Bare space stalls: 3.5 metres
Shell scheme stalls: 2.5 metres

During the live event, and in the six hours leading up to it, exhibitors are strictly prohibited from carrying out setup or dismantling activities.

Participant Guidelines

To ensure a smooth and professional experience at Aquaex India 2025, all exhibitors are requested to follow the guidelines outlined below. These cover key aspects of setup, operations, dismantling, safety and available services to help you make the most of your participation in Bhimavaram from 11–13 Sept. 2025.

Limitation of Liability
The organiser is not liable for: Safety of exhibitors, their staff, contractors, agents, invitees, or exhibits. Any damage, loss, or delays arising from third-party services, venue restrictions, or failure of utilities. Please refer to the Aquaex India Terms & Conditions for full details.

Venue Access
Exhibitors and contractors must collect setup/dismantling passes before beginning any work. Access to the exhibition grounds is allowed with a valid exhibitor pass from 9 September 2025.

Early access is permitted only for custom-designed stalls over 36 SQM. or exhibitors who have paid the entry fee and obtained special permission from the organisers.

Entry Permit
Please contact the organising team in advance to obtain your registration confirmation and proof of full payment. At the check-in area, present this confirmation to receive your vehicle pass, workers' permit, and goods entry permit. Booths with pending payments will not be granted entry.

Dismantling Guidelines
Stall dismantling starts: 6:00 PM, 13 September 2025. Must be fully completed by 11:30 PM the same day. Packing inside the stall may begin at 5:30 PM, but aisle areas must be kept clear. Aisle carpets will be removed at 6:00 PM; rolling doors will open for material movement.

⚠️ Risk of Theft: Hand over boxes only to authorised service providers. The risk of theft is higher during dismantling.

Safety Measures
Safety of exhibitors, visitors, and exhibits is a top priority. All electrical work must meet safety standards. Machine exhibits must have guards to prevent injuries from sparks, debris, or fluids.

⚠️ Use of inflammable, explosive, toxic, radioactive, or hazardous materials is strictly prohibited.

General Rules
No entry without a valid temporary pass during setup/dismantling. No one is allowed to sleep on-site during any phase of the event. Contractors must share their details with the exhibitor, who will then forward them to the organiser for pass issuance.

Setup: 11:00 AM, 9 September – 5:00 AM, 11 September
Dismantling: 6:00 PM – 11:30 PM, 13 September

Facilities Available On-Site

To support your participation and enhance your experience at Aquaex India 2025, a range of essential services and amenities will be available at the venue. From security and medical support to food options and business services, all essential facilities will be readily available at the venue throughout the event.

Photography & Videography
An official team will be available throughout the exhibition.

On-site Security
General security will be provided. Stall-specific security is available at additional cost through authorised providers only.

Fire Precautions
Fire engines with firefighting equipment will be on standby throughout the event.

⚠️ Smoking is strictly prohibited within the exhibition venue at all times.

Housekeeping
General cleaning of exhibition areas will be carried out. Booth-specific cleaning is available on request and will incur an extra charge.

Media Centre
Press releases may be distributed with prior organiser approval.

Media slots available for INR 35,000 + GST for 25 minutes, including sound system and display screen. Exhibitors must handle press invites and backdrop design/ printing/installation. On-site media support is available.

Exhibition Halls and Floor Plan

Aquaex India 2025 will be held at Radha Krishna Conventions, the largest venue in Bhimavaram. The venue includes three indoor halls: Hall-A and Hall-B are fully air-conditioned, while Hall-C is an open, non-air-conditioned space with fans. There is also outdoor space available, suitable for large machinery, vehicles, water tanks, and logistics displays. Please contact our reservation team to check booth availability.
